In today’s dynamic work environment, especially with hourly or non-exempt employees, organizations must ensure compliance with local, state, and federal laws regarding meal breaks and rest periods. One of the tools helping the businesses manage these regulations efficiently is PeopleSoft’s Time and Labor system. In Peoplesoft HCM Update Image 50, PeopleSoft delivers a key feature designed to comply with state meal break requirements for non-exempt workers. This feature enables employees to waive meal breaks, streamlining payroll calculations and helping businesses stay compliant with complex labor laws.

The Meal Break Waiver Feature
The Meal Break Waiver feature in PeopleSoft’s Time and Labor module is designed to simplify the process for managing meal breaks, particularly when a non-exempt employee decides to waive their meal break for a workday. Non-exempt employees are entitled to breaks under labor laws, but there are situations when they may not take a break, and this feature ensures that their time is accurately reported and compensated.
How It Works
With the Meal Break Waiver feature, time reporters (employees who log their work hours) are provided an option to waive their meal break for the day. Here’s a breakdown of how it works:
- Time Reporters Can Waive Their Meal Breaks: Employees can select the “waive meal” option when reporting their hours, shown in the Figure 1 signaling that they do not wish to take the meal break on that particular day.
- Calculating Regular Pay: When a meal break is waived or not taken, PeopleSoft Time and Labor automatically calculates the regular pay based on the adjusted time. This helps prevent errors that might otherwise occur due to untracked breaks and ensures workers are paid accurately.
- State-Specific Settings: Compliance with state laws regarding meal and break periods is crucial. As different states have different meal break regulations, PeopleSoft allows employers to set up a state-specific configuration to determine which employees can waive meal breaks. For example, some states may allow certain roles or industries to waive meal breaks under specific conditions, while others may not.

Configuring the Meal Break Waiver
PeopleSoft’s flexibility allows organizations to customize how the Meal Break Waiver is applied. Key configuration options include:
- State Participation: Employers can assign states that are eligible for the meal break waiver feature shown in the Figure 2. If the workgroup level override for meal break waivers is disabled, employees from states that permit such waivers can still take advantage of this feature.
- Workgroup-Level Overrides: For organizations that require specific workgroups to adhere to different rules (for example, department-based regulations), administrators can override the default setting at the workgroup level. This ensures that only designated employees can waive their meal breaks.
- Attestation ID: A critical compliance feature is the ability to require an Attestation ID (Figure 2). This allows time reporters to acknowledge that they are waiving their meal break for the day. This acknowledgment ensures that both the employee and employer are aware of the meal break waiver and prevents any misunderstandings.
- Customizable Acknowledgement Framework: Organizations can customize the attestation process to match their internal policies and state requirements. This is a helpful feature for maintaining compliance across different jurisdictions while ensuring that workers’ rights are protected.
