What is the Position Management Insights Dashboard?

The Position Management Insights dashboard is a powerful visualization tool designed to help administrators efficiently track and manage position data across the organization. It consolidates key insights into open positions, headcount, position requests, and their approval statuses, offering a one-stop-shop for administrators to view and act on position data according to security access.

 

To Access Navigate to: Workforce Administration (Homepage) > Position Management > Position Management Insights.

 

1. Comprehensive Position Metrics

The dashboard offers a holistic view of all positions within the organization, categorizing them into:

  • Total Positions: Displays the total number of active positions.
  • Open Positions: Highlights positions that are currently vacant.
  • Partially Filled Positions: Indicates positions that are not fully staffed.
  • Overallocated Positions: Identifies positions that have more incumbents than intended.

2. Advanced Filtering Capabilities

Administrators can refine data using filters such as:

  • Business Unit
  • Department
  • Job Code
  • Location
  • Position Title
  • Reports To
  • Remote Worker Eligibility
  • Approval Status
  • Position Filled Status

Additional filters can be added using the OpenSearch Index, allowing organizations to customize insights based on specific needs.

Setting Up Position Management Insights in PeopleSoft

1. Deploy the Position Data Index: The first step is to deploy the HC_POSITION_DATA_INDEX (Position Data Index), which forms the foundation for indexing position-related data.

Navigate to: People Tools > Search Framework > Search Admin Activity Guide > Administration > Deploy/Delete Object

2. Build the Position Data Index Search Definition: Once deployed, the next step is to build the search definition for the Position Data Index to prepare it for data indexing.

Navigate to: People Tools > Search Framework > Search Admin Activity Guide > Administration > Schedule Search Index.

Note: Ensure that a full indexing process is run to complete the setup.

3. Deploy the Dashboard and Tile: Deploy both the Position Management Insights Tile and the Position Management Insights Dashboard for users to access the insights.

Navigate to: People Tools > Search Framework > Administration > Deploy Insights Dashboard.

Note: Ensure the full index is successfully built before deploying the dashboard

 

4. Assign Access to HR Administrators: Grant access to the dashboard by assigning the HR Administrator role to the appropriate users. This role ensures access to position management visualizations and insights.
